Our Cancellation Policy

Once a company or self-employed individual has confirmed a booking with OH Services Ltd, whether direct or through an agency or third party acting on your behalf, we reserve a time slot in our diaries and incur costs.

By confirming a booking for a service/appointment you agree to enter into a contract with OH Services Ltd, which includes the late cancellation/late attendance fee policy as detailed below.

1. Cancellation of a visit to a client’s site – cancelled within 10 working days of confirmed date will incur a 100% (of agreed cost) late cancellation fee.

2. Cancellation of a block booking (4 or more clients) – cancelled within 3 working days of confirmed date will incur a 100% (of agreed cost) late cancellation fee.

3. Cancellation of an appointment with a physician, nurse or support worker – cancelled within 3 working days of confirmed date will incur a 100% (of agreed cost) late cancellation fee.

4. Cancellation of a counselling appointment – cancelled within 1 working day of confirmed date will incur a 100% (of agreed cost) late cancellation fee.

5. When a private booking is taken over the telephone, a non refundable deposit of 50% of the full cost is required. This deposit is non refundable if the booking is cancelled or the client does not attend. The booking can be rescheduled if more than 1 working day’s notice is given.

Late/Non-attendance

Appointments at the OH Services Ltd medical practices

Clients must arrive 10 minutes before their appointment. If clients arrive more than 5 minutes after their appointment start time, their appointment will be marked as ‘Did Not Attend’ and will incur a 100% (of agreed cost) fee. The appointment may be rearranged and will be charged at full cost. This may be rearranged to a different day, or later on the same day if this can be accommodated.

If there is a non attendance, this will incur a 100% (of agreed cost) fee. For companies who have a service agreement with a monthly charge, the fee of the non attended appointment will be charged on top of the monthly charge.

Appointments at clients’ sites

  • If attendance time is more than 5 minutes late than the stated time on the schedule the medical/review will not be completed in full.
  • If an individual attends with the paperwork not completed then the medical will be delayed and also not be completed in full.

In both cases this will incur a 100% (of agreed cost) fee for the appointment or session and the remaining part of the medical will need to be rescheduled.

Follow up appointments

Non-attendance to an initial follow up appointment will result in a 100% fee for any subsequent follow up appointments that are made and not attended.
